Stacking subscriber lists before an upload? Get one row per email and a change log of every edit.

beehiiv doesn’t list which emails it rejected. Clean first, and you get a change log of every edit before you upload. Two steps are yours before you upload: move the email column to first, and delete the rows marked for review (missing or invalid email).

No calls needed: pay, email your export to slrescue@mail.grokbot.com, and get it back within 24 hours on Quick Clean (up to 200 rows; 48 hours on Intro, 72 hours on Growth, 5 business days on Bulk). Promo code SLRLAUNCH15 takes 15% off the Intro, Growth and Bulk packs through Nov 6.

Why a stacked subscriber list has repeats

  • Stacked lists: a website list and a webinar list, or exports from two publications, put the same email on more than one row.
  • Small differences hide repeats: the same address typed with capitals, or with a stray space at the start or end.
  • After an upload you see counts, not rows: beehiiv’s import history shows an uploaded, accepted and rejected count.

What beehiiv’s help page says

beehiiv’s help article on CSV uploads says “beehiiv automatically removes inactive and duplicate emails to keep your list clean”, and about the import history: “The system does not provide a list of specific rejected email addresses or individual rejection reasons per email. However, you can identify which contacts were not imported by exporting your current subscriber list and comparing it to your original CSV.” (beehiiv Help: common concerns with CSV uploads, read 27 October 2026).

So beehiiv already drops repeats on its side, free. What we add is the step before: beehiiv doesn’t list which emails it rejected. Clean first, and you get a change log of every edit before you upload.

Two beehiiv file rules to know

The same article lists these, word for word:

  • “Your CSV must have one of these headers in the first column: "email", "email address", or "emailaddress" (case-insensitive).”
  • “Every row must have a valid email address in the first column.”

Our cleaned file starts with the name column, and it keeps rows with a missing or invalid email so that nothing is deleted without you seeing it. That is why steps 4 and 5 below are yours to do before you upload.

What we don’t do

  • We don’t predict or explain beehiiv’s rejections. beehiiv runs its own checks when you upload, and we can’t see them from your file.
  • Nothing inside beehiiv: we don’t log in, and we don’t touch subscribers, tags, segments or custom fields there. We only work on the CSV you send us.
  • We don’t check whether a mailbox exists or will accept mail.
  • Columns are not matched to your beehiiv custom fields. Your columns come back with the same headers, and you match them when you upload.
  • Who you may email is your call. A cleaned file is not permission to email anyone.

How it works

Check the file free

Run the free CSV Preflight. It runs in your browser, counts duplicate emails, and the file is not uploaded.

Send it for a Quick Clean

Quick Clean is $25 for up to 200 rows. Stack your lists under one header row so the columns line up, save one CSV, and send it (details below).

Read the change log

For up to 200 rows, within 24 hours you get a cleaned CSV plus a change log (changelog.md and change_log.json) listing every merge and edit by row number.

Move the email column to first

The cleaned file starts with the name column. beehiiv wants an email header in the first column, so cut the email column and paste it as the first column before you upload.

Delete the rows marked for review (missing or invalid email) before uploading.

beehiiv says every row needs a valid email in the first column. We keep those rows so you can see them; delete them, or fix the email, before you upload.

Before you upload to beehiiv

  1. Move the email column to first.
  2. Delete the rows marked for review (missing or invalid email). They’re the rows with needs_review in the status column.

Rather hand off the cleanup? $25 Quick Clean: up to 200 rows, cleaned CSV (same-email duplicates merged, possible duplicates noted) plus a change log within 24 hours.

Free CSV Preflight Quick Clean · $25 (up to 200 rows)

What you get back

  • One row per email: same-email duplicates merged, ignoring capitals and spaces at the start or end; every merge is listed in the change log with its row numbers
  • Where merged rows differ (for example a tag from each list), the first row’s value is kept and the other value is listed in the change log
  • If a status column disagrees between merged rows (for example active on one, unsubscribed on the other), the kept row is marked for review with both values in qa_notes
  • Possible duplicates noted, never merged: rows with the same full name and company but a different email get a “possible duplicate” note in qa_notes and are marked for review
  • Rows with a missing or invalid email kept and marked for review, so you decide what to delete
  • Your other columns (tags, custom fields and so on) kept, values unchanged apart from extra spaces

Questions

Doesn't beehiiv already remove duplicates?

Yes. beehiiv says it “automatically removes inactive and duplicate emails to keep your list clean”, and that “The system does not provide a list of specific rejected email addresses or individual rejection reasons per email.” (beehiiv Help). We work on the file before you upload: same-email rows merged, with a change log of every edit you can read first.

Will you tell me which emails beehiiv will reject?

No. We don’t predict or explain beehiiv’s rejections. beehiiv runs its own checks when you upload. The change log lists what we changed in your file, nothing more.

Why isn't the email column first in the cleaned file?

Our cleaned file starts with the name column. beehiiv wants an email header in the first column, so move the email column to first before you upload.

Should I delete every row marked for review?

No. Delete the rows marked for review (missing or invalid email) before uploading. Possible duplicates and rows missing a name or company are marked for review too; on a newsletter list with no name or company columns that can be most rows. Those still have an email, so check them and keep the ones you want.

Can you merge subscribers who used two different emails?

No. We only merge rows with the same email. Rows with the same full name and company but a different email are noted as possible duplicates, never merged, and you decide.

Can I email everyone on the cleaned list?

Not because we cleaned it. We don’t check who agreed to hear from you. Only email people who agreed to hear from you.

Are you affiliated with beehiiv?

No. We only work on the CSV file you send us.

Is my data safe?

Files are used only for your job and deleted after delivery on request (see Anonymous aggregate statistics).

Anonymous aggregate statistics. After a cleanup we keep a small record of counts about your file: rows in and out, duplicates merged, rows flagged for review, which fields were present, and the CRM you told us it's for. This record contains no contact data, names, emails, company names, domains, file names or cell values, and it isn't deleted when your file is deleted. We only publish these counts combined with at least 19 other lists (and at least 5 different customers), so no single customer can be identified. To opt out, reply 'opt out' to your delivery email and we'll delete your record.

What if the cleaned file isn't right?

If the file isn't what we promised, we fix it once for free within 48 hours. If it still isn't right, you get your money back for the part we couldn't deliver. If we're late, you choose a full refund or a free rush job.
