Same email on two rows with two different names? See what gets merged before you upload your lead list.

Lead lists built from several sources repeat the same people. Send us the CSV and get back a cleaned file with same-email rows merged into one, plus a change log that lists every merge and every value set aside by row number, so you can read it before you upload to Close.

No calls needed: pay, email your export to slrescue@mail.grokbot.com, and get it back within 24 hours on Quick Clean (up to 200 rows; 48 hours on Intro, 72 hours on Growth, 5 business days on Bulk). Promo code SLRLAUNCH15 takes 15% off the Intro, Growth and Bulk packs through Nov 6.

Why a lead list has repeats before it reaches Close

  • Several sources: a trade-show list, a webinar export and an old CRM export each hold their own copy of the same contact.
  • Small differences hide repeats: the same address typed with capitals, or with a stray space at the start or end.
  • Two names on one email: a shared inbox or a typo puts two different names on the same address, and only one name can stay.
  • Once two leads are merged in Close they can’t be unmerged, so it pays to read the file first.

What Close already does

Close’s help pages describe its own options, and they are free. Check them first (Close Help: Importing Leads and Contacts from a file; Close Help: Finding and Merging Duplicates):

  • The Lead Importer can group related rows on a column you pick, and can check each row against leads already in Close.
  • Close says: “If your Grouped Contacts have different names but the same email or phone number, they will be merged into a single Contact by our importer.”
  • For duplicates already inside Close, it says “Close does not currently have a built-in duplicate detection tool in the UI”, and offers a support tool that downloads a duplicates report plus a free, one-time merge by Close Support.

We help with the step before the upload: your CSV merged by email outside Close, with a change log of every merge and every value set aside, so you know which name, title or phone was kept before the importer runs.

Why read the file first

Close’s own help page says a merged lead can’t be unmerged, and that undoing an import skips leads that were changed after the import. A cleaned file plus a change log lets you see every merge and every kept value before anything is uploaded.

What we don’t do

  • Nothing inside Close: we don’t log in, and we don’t touch leads, contacts, opportunities, activities or Smart Views. For duplicates already in Close, use Close’s duplicates report and its support team.
  • We can’t see which leads are already in your Close account, so matching against existing leads is still Close’s “Check if Leads already exist” option at upload.
  • Rows are merged only when they share the same email. Rows with the same name and company but a different email are noted, never merged.
  • Columns are not matched to Close fields. The name, email, phone, company and title columns come back under plain names (full_name, email, phone, company, title) and your other columns follow at the end; you assign them to Close fields in the importer.
  • Who you may contact is your call. A cleaned file is not permission to email or call anyone.

How it works

Check the file free

Run the free CSV Preflight. It runs in your browser, counts duplicate emails, and the file is not uploaded.

Combine your lists

Paste each list’s rows under one header row so the columns line up, and save one CSV. Put the list you trust most first: when merged rows differ, the first row’s value is kept.

Pay and send

Quick Clean is $25 for up to 200 rows. Pay on Stripe, then email the CSV to slrescue@mail.grokbot.com and say it is a Close lead list.

Get it back within 24 hours

A cleaned CSV plus a change log (changelog.md and change_log.json). Read the change log, then upload the file to Close and skip the source_row column when you assign fields. Bigger files: see the sizes below.

Rather hand off the cleanup? $25 Quick Clean: up to 200 rows, cleaned CSV (same-email duplicates merged, possible duplicates noted) plus a change log within 24 hours.

What you get back

  • One row per email: rows with the same email, ignoring capitals and spaces at the start or end, merged into one; every merge listed in the change log with its row numbers
  • Where merged rows differ, the first row’s value is kept and the other value (a second name, title or phone) is listed in the change log; a blank cell in the kept row is filled from the duplicate, and that is logged too
  • If a status column disagrees between merged rows, the kept row is marked for review with both values in qa_notes
  • Possible duplicates noted, never merged: rows with the same full name and company (ignoring Inc, LLC and similar) but a different email get a “possible duplicate” note in qa_notes and are marked for review
  • Invalid or missing emails kept and marked for review with the reason in qa_notes, so you decide what to upload
  • Your other columns (lead status, source, notes and so on) kept at the end, values unchanged apart from extra spaces

Questions

Doesn't Close already handle duplicates when I upload?

Partly, and for free. The Lead Importer can group rows on a column you pick and check rows against leads already in Close, and Close says grouped contacts with the same email or phone but different names “will be merged into a single Contact by our importer” (Close Help). If that covers what you need, use it. If you want to see every merge and every value set aside before you upload, that’s what the cleaned file and change log are for.

Can you merge duplicates that are already in my Close account?

No. We don’t log in to Close. For records already there, Close offers a duplicates report tool and a free, one-time merge by its support team (Close Help: Finding and Merging Duplicates).

Can you merge people who used two different emails?

No. We only merge rows with the same email. Rows with the same full name and company but a different email are noted as possible duplicates, never merged, and you decide.

Will you match my columns to Close fields?

No. The core columns come back as full_name, email, phone, company and title, and your other columns follow at the end. You assign them to Close fields in the importer, and skip the source_row column.

Why are some rows marked needs_review?

Each one has its reason in qa_notes: an invalid or missing email, a possible duplicate, a status column that disagreed between merged rows, or a missing name or company. Check those rows before you upload.

Are you affiliated with Close?

No. We only work on the CSV file you send us.

Is my data safe?

Files are used only for your job and deleted after delivery on request (see Anonymous aggregate statistics).

Anonymous aggregate statistics. After a cleanup we keep a small record of counts about your file: rows in and out, duplicates merged, rows marked for review, which fields were present, and the CRM you told us it's for. This record contains no contact data, names, emails, company names, domains, file names or cell values, and it isn't deleted when your file is deleted. We only publish these counts combined with at least 19 other lists (and at least 5 different customers), so no single customer can be identified. To opt out, reply 'opt out' to your delivery email and we'll delete your record.

What if the cleaned file isn't right?

If the file isn't what we promised, we fix it once for free within 48 hours. If it still isn't right, you get your money back for the part we couldn't deliver. If we're late, you choose a full refund or a free rush job.
