Constant Contact remove duplicates: the native way, or done for you

Constant Contact only catches exact-email duplicates. The same person with a second or mistyped email address stays on your list twice. Below: Constant Contact's own fix first, then our done-for-you cleanup of your exported file, back in 24 hours on Quick Clean (up to 200 rows).

Will Constant Contact remove duplicates?

Only exact email matches. Constant Contact identifies each contact by email address or SMS number, and importing an existing contact updates that contact (Constant Contact developer guide: Import Contacts). If the same email appears more than once, "the last imported info associated with the same email address will be what's kept" (Constant Contact community, staff reply).

Its own FAQ says duplicates "can still slip through the cracks, due to typos, name changes, or one person using multiple email addresses", and that a tidy list means "you aren't paying for the same contact twice" (Constant Contact FAQ: How do I find and merge duplicate contacts?).

The native fix: export, dedupe, re-import

For large numbers of duplicates, Constant Contact's FAQ recommends this (source):

  1. Export all your contacts to a CSV or Excel file.
  2. Clean in a spreadsheet: sort to find duplicates and combine the info into a single row per person.
  3. Mark for deletion: add a column named "Delete" and mark the rows to remove later.
  4. Import the file back. Constant Contact recognizes the email addresses and updates those records.
  5. Delete: search for the contacts you marked and remove them in a batch.

For just a few duplicates, the same FAQ suggests copying details into the record you keep, then deleting the other. Two things to know before you re-import: Constant Contact treats any imported file "as the most up-to-date info", so file values replace what's in your account (staff reply). Its developer guide also says CSV imports through its API stop at 40,000 rows and 4 MB, and rows beyond that are not processed (Import Contacts).

Or let us do the spreadsheet part

  • You export your contacts (and any outside list you're about to add) and email the CSV.
  • Rows with the same email (ignoring capitalization and spaces at the start or end) are merged. Rows with the same full name and company but a different or missing email are flagged, not merged: that is how a second or mistyped address for the same person usually shows up, and an exact-email match misses it.
  • Each possible duplicate is marked needs_review, with a note naming the row it may match, so you can decide which to keep and use Constant Contact's own "Delete" and batch-delete steps. Nothing is merged or deleted on a guess.
  • Spaces trimmed, emails lowercased, names and titles in ALL CAPS or all lowercase re-cased, US phones formatted +1-XXX-XXX-XXXX, numbers that start with + or 00 kept as sent (extra spaces trimmed only), and 10-digit numbers with no country code treated as US. Invalid, missing and personal emails are flagged.
  • What we don't do: we don't guarantee deliverability, open rates, or bounce rates, we don't verify mailboxes, and we don't add, buy, or find contacts. We don't merge records inside your account; you re-import and delete using our file.

Questions

Will Constant Contact remove duplicates for me when I import?

Only exact email matches. Constant Contact identifies each contact by email address (or SMS number), so a row with an email that already exists updates that contact instead of creating a new one (developer guide), and when the same email appears more than once the last imported info is what's kept (staff reply). The same person under a different or mistyped email stays a separate contact. We flag rows with the same full name and company but a different or missing email for you to review.

If I re-import a cleaned file, will it overwrite my data or resubscribe people?

Constant Contact treats any imported file as the most up-to-date info, so values in your file replace what's in the account (staff reply). Its developer guide also warns that importing data that hasn't been synced from Constant Contact first can resubscribe contacts who recently unsubscribed (Sync Contacts and Lists). Keep unsubscribes suppressed in your Constant Contact account, export fresh right before you send us the file, and re-import our file soon after. We don't change the values in status or permission columns (extra spaces trimmed only).

How does Constant Contact say to merge duplicate contacts?

Its FAQ gives two methods: copy and paste details by hand for a few duplicates, or for large numbers export everything, combine rows in a spreadsheet, add a "Delete" column, import the file back, then search for the marked contacts and delete them in a batch (Constant Contact FAQ). We do the duplicate-finding part of that spreadsheet work (same-email rows merged, possible duplicates flagged); you keep control of the import and the delete.

Do you need access to my Constant Contact account?

No. You export a CSV and email it. We only clean the exported file and never log in to or touch your Constant Contact account.

How fast is delivery?

From when we receive your file: Quick Clean (up to 200 rows) within 24 hours, Intro within 48 hours, Growth within 72 hours, Bulk within 5 business days. Over 5,000 rows is scoped in your quote.

What if the cleaned file isn't right?

If the file isn't what we promised, we fix it once for free within 48 hours. If it still isn't right, you get your money back for the part we couldn't deliver. If we're late, you choose a full refund or a free rush job.

What happens to my data?
