Donor records pile up across an old CRM, a mailing tool and a few spreadsheets, and the same email appears on several rows. Combine your contact exports into one CSV and get back a cleaned CSV with same-email rows merged into one, plus a change log that lists every merge by row number.
No calls needed: pay, email your export to slrescue@mail.grokbot.com, and get it back within 24 hours on Quick Clean (up to 200 rows; 48 hours on Intro, 72 hours on Growth, 5 business days on Bulk). Promo code SLRLAUNCH15 takes 15% off the Intro, Growth and Bulk packs through Nov 6.
People who have done a donor CRM move say the same thing in public nonprofit forums: clean the data before it goes into the new system, because the mess comes with it. Little Green Light’s own migration guide puts the data preparation step at about 45% of the project’s time and energy (Little Green Light: Prepare for migration).
Your new CRM may also check for duplicates when you bring a file in. Bloomerang’s help article says it looks at first and last name together with an email address, a street address or the last seven digits of a phone number (Bloomerang: Imports 101). Little Green Light says “there’s no silver bullet for eliminating duplicates” (Little Green Light: Checking for and managing duplicates). Merging the same-email rows in your file first means fewer pairs to sort out later, and the change log shows what was merged.
Send one CSV of contacts (one row per person record). Do not send gift, pledge or donation rows: a gift file has one row per gift, and merging rows by email would keep the first gift’s amount and only list the others in the change log.
Our cleaner was built for business contact lists. On a donor list most people use a personal address (Gmail and similar) and have no company, so the QA notes will say “personal email” and “missing company” on most rows and mark those rows for review. That is expected for donors and you can ignore those two notes. The notes that matter are invalid or missing emails and possible duplicates.
A cleaned file is not permission to email anyone. Keep any opt-in or communication-preference column in the file and tell us its name: when merged rows disagree in that column, the kept row is marked for review with both values in qa_notes. We never pick one silently.

Paste each export’s rows under one header row so the columns line up, and save one CSV of contacts only (no gift rows). Put the source you trust most first: when merged rows differ, the first row’s value is kept.
Quick Clean is $25 for up to 200 rows. Pay on Stripe, then email the CSV to slrescue@mail.grokbot.com and say it is a donor contact list. If your file has no company column, ask us to note rows with the same first and last name as possible duplicates.
A cleaned CSV plus a change log (changelog.md and change_log.json). Bigger files: see the sizes below.
Rather hand off the cleanup? $25 Quick Clean: up to 200 rows, cleaned CSV (same-email duplicates merged, possible duplicates noted) plus a change log within 24 hours.
Your $25 Quick Clean counts toward any bigger cleanup within 14 days.

Before. Repeats that go into the new system have to be merged there, one pair at a time. Merging the same-email rows in your file first, with a change log, leaves fewer to sort out after the move.
No. Send contacts only. A gift file has one row per gift, and merging by email would keep the first gift’s amount and only list the others in the change log.
No. Rows are merged only when they share the same email. A joint name like “Micah & Liz Weaver” stays as one name, exactly as you sent it.
No. Your columns come back with the same headers. You match them to the new CRM’s fields when you bring the file in.
On a donor list most people have a personal email and no company, and our QA notes mark both. That is expected for donors; you can ignore those two notes. Invalid or missing emails and possible duplicates are the notes worth checking.
No. We only merge rows with the same email. Rows with the same full name and company, or on request the same first and last name, are noted as possible duplicates, and you decide.
Files are used only for your job and deleted after delivery on request (see Anonymous aggregate statistics).
Anonymous aggregate statistics. After a cleanup we keep a small record of counts about your file: rows in and out, duplicates merged, rows marked for review, which fields were present, and the CRM you told us it's for. This record contains no contact data, names, emails, company names, domains, file names or cell values, and it isn't deleted when your file is deleted. We only publish these counts combined with at least 19 other lists (and at least 5 different customers), so no single customer can be identified. To opt out, reply 'opt out' to your delivery email and we'll delete your record.
