Mailchimp merge audiences: dedupe your exports before you combine them

Merging two audiences in Mailchimp? Its Combine Audiences tool moves only subscribed contacts and drops tags, groups, opt-in times and GDPR permissions, and the same person in two audiences counts as two contacts until you combine or archive. Below: Mailchimp's own steps first, then our done-for-you cleanup of your stacked exports: same-email duplicates merged, possible duplicates flagged and a change log, back in 24 hours on Quick Clean (up to 200 rows).

How to merge audiences in Mailchimp: what you can do natively

Mailchimp recommends one audience: "As a best practice, we recommend that you have 1 primary audience in Mailchimp. Then, use tags and segments to organize and target your contacts. If you have multiple audiences, use our combine audiences tool to merge them together." (Mailchimp Help: Use the Combine Audiences Tool) There are two ways. The Combine Audiences tool is quick, but it moves only subscribed contacts and drops tags, groups, opt-in times and GDPR permissions. Exporting, archiving and re-importing with tags keeps more, because you import each status yourself and tag each row with its old audience. Either way, back up first: "Audience actions are permanent, so we recommend that you backup and export your audiences before you combine them." Mailchimp dedupes only inside one audience: "If the same person’s email is in two audiences, we see that as two people." "This could contribute to your monthly bill." (Mailchimp Help: About Duplicate Contacts)

  1. Export every audience, including the primary one. Open each audience and "Click Export audience." Only some users can: "only Owners and Admins can export audiences." "Your export may include a ZIP file that contains separate CSV files for each type of email contact (subscribed, unsubscribed, non-subscribed, and cleaned)." "Archived contacts are exported separately from your active contacts." (Mailchimp Help: View or Export Your Contacts)
  2. Pick your route. Only subscribed contacts matter, and you don't need tags, groups or GDPR permissions? Use the Combine Audiences tool (step 3). Otherwise use the CSV route (step 4): "Combine audiences from a CSV file to make it easier to manage your audience." (Mailchimp Help: Combine Audiences From a CSV File) Check the blocks first: "A published website or landing page, or an automation flow on the audience, also prevents combine." (Mailchimp Help: Combine Audiences to a Primary Audience Using Tags) Also: "Automation Flows in an active, paused, or draft status will prevent your audience from being combined or deleted." (Mailchimp Help: Limits on Bulk Actions) And "After you use an audience, you’ll need to wait 7 days to combine audiences." (Mailchimp Help)
  3. Route A: Mailchimp combine audiences tool. "Click Audience drop-down, then click Manage audiences." "Click the Manage audience drop-down next to the audience you want to combine with your primary audience, and choose Combine audiences." "In the Combine audiences pop-up modal, click the drop-down and choose your primary audience." "Enter CONFIRM, then click Combine audiences." Then "Repeat this process for each of the audiences you want to combine." Pause welcome automations first, because Mailchimp warns that "the combine audiences tool will trigger the automation for all contacts moved from the original audience." (Mailchimp Help: Use the Combine Audiences Tool)
  4. Route B: archive, then import each audience with a tag. "To prevent duplicate contacts in your audience, you may want to archive contacts in your old audience after you've exported and before you import to your main audience." Then import into the primary audience: "Check the Update any existing contacts box to combine and import duplicate contacts." Columns you don't match are dropped: "Any unmatched columns won't be imported." One status per import: "Repeat this process for each type of contact you want to import." (Mailchimp Help: Combine Audiences From a CSV File) "You can only import 1 status at a time." (Mailchimp Help: Import Contacts to Mailchimp) Tag each import: "Import each audience into the same primary audience and assign the appropriate tags to note the original audience." Unsubscribes and bounces go in as suppression: "import all unsubscribed and bounced (cleaned) email addresses as suppression lists into the newly created audience." (Mailchimp Help: Combine Audiences to a Primary Audience Using Tags)
  5. Finish up. "When you archive a contact, you retain all of their data, and they no longer count toward your current contact total." But: "Archiving won't lower a peak contact total already recorded for the current billing period, but it will lower your costs in future billing periods." (Mailchimp Help: Combine Audiences to a Primary Audience Using Tags) "Be sure to update any signup forms to match your new primary audience." (Mailchimp Help)

Or let us clean the stacked file before you import

  • You stack the CSVs from step 1 into one CSV or Excel (.xlsx) file (same columns, one header row) and send it. With Excel, we clean the first sheet of the workbook, and the file comes back as a cleaned CSV plus a change log. We don't take old Excel .xls files; save them as .xlsx or CSV first. We clean one file per job and don't add a column showing where each row came from, so before stacking, add two columns yourself: "Audience" (the old audience's name) and "Status" (subscribed, unsubscribed, non-subscribed or cleaned, from the file name). Your Email Address column is the email we use, wherever it sits. Other columns with "email" in the header (marketing permissions, email format, or columns you add) are kept as their own columns, and one only fills a blank email when it holds a real address. Your Status column comes back as status_src, because the cleaned file has its own status column. Pricing is by rows in the stacked file. We don't combine audiences, archive contacts or run the import.
  • Rows with the same email (ignoring capitalization and spaces at the start or end) are merged into one row, so a person who was in two audiences appears once: the first row is kept and its blank fields are filled from the later rows, which can include consent cells. Where both rows have different values, the first row's value is kept and the other is listed in the change log. Tag values aren't combined: if the two rows have different TAGS or Audience values, the first is kept and the other is listed in the change log. Stack your primary audience first if you want its values kept. Every merge and every fill is listed in the change log.
  • Rows with the same full name and the same company, where both are present, but a different or missing email are flagged, not merged, with a note naming the row they may match. Misspelled names aren't caught. Mailchimp exports usually have no company column, so this flag rarely applies, and every row without a company gets a "missing company" note and is marked needs_review. Filter qa_notes for "merged duplicate" and "consent conflict" to find the rows that matter.
  • Invalid, missing and personal (for example Gmail or Yahoo) emails are flagged in qa_notes. We don't fix or verify mailboxes.
  • Names in ALL CAPS or all lowercase are re-cased. US phone numbers are formatted +1-XXX-XXX-XXXX. Numbers with a non-US country code (starting with + or 00) are kept as you sent them (extra spaces trimmed only). Numbers with no country code and 10 digits are treated as US. Placeholder phones like N/A are blanked and logged. Anything we can't read is kept as-is, with a note in qa_notes. Line breaks inside cells are turned into spaces (except in the email column, where a broken email is flagged invalid instead), and the CSV is saved as UTF-8.
  • You get back the cleaned CSV (with status, qa_notes and source_row columns), a change log with every merge, every fill from a duplicate, every email and possible-duplicate flag, and every edited cell listed by row, with its old and new value, a QA report with counts (rows in and out, duplicates merged, possible duplicates flagged, emails flagged and cells edited), and your original file, unchanged. Filter the cleaned CSV by status_src and import each status separately, as Mailchimp requires.
  • What we don't do: we don't combine, archive, delete or edit anything inside Mailchimp. We don't run the import, map fields, choose subscription statuses or create tags, and we don't combine tag values from two rows into one. We don't promise deliverability, inbox placement or bounce rates, or a lower Mailchimp bill, we don't verify mailboxes, we don't find, buy or add contacts, and we don't merge rows that only might be the same person.

Questions

Can you merge audiences in Mailchimp?

Yes. Use the Combine Audiences tool, or export, archive and re-import with tags (steps 3 and 4). Mailchimp's own advice: "As a best practice, we recommend that you have 1 primary audience in Mailchimp." The tool moves only subscribed contacts: "Only subscribed contacts will be moved over to the primary audience." (Mailchimp Help)

Does Mailchimp automatically remove duplicates?

Inside one audience, yes: "If an address is found in an import file twice or more, we’ll only add it once." Across audiences, no: "If the same person’s email is in two audiences, we see that as two people." (Mailchimp Help) That's why we merge the stacked exports before you import, and log which rows were the same person.

Will my tags survive the merge?

Not with the Combine Audiences tool: it "doesn’t transfer group or tag data" (Mailchimp Help). On the CSV route, assign a tag per audience during import, as Mailchimp suggests. In our cleanup, your TAGS column is kept. When two rows for one email have different tags, the first row's tags are kept and the other row's are listed in the change log; we don't combine them.

What happens to unsubscribed contacts?

The tool doesn't move them ("Only subscribed contacts will be moved over to the primary audience."). On the CSV route, Mailchimp says to "import all unsubscribed and bounced (cleaned) email addresses as suppression lists into the newly created audience." (Mailchimp Help) In our cleanup, if one row says subscribed and the other unsubscribed in your Status column, the row is flagged needs_review with both values listed, and the first value is kept. You decide.

Will you combine or archive anything in my Mailchimp account?

No. We clean the stacked export only. Same-email rows are merged in the file, with each merge and fill logged. You run the combine, the archive and the imports in Mailchimp yourself.

What comes back, and how do I import it?

A UTF-8 CSV, also when you send Excel (.xlsx), plus a change log. Headers come back in lowercase with underscores (for example, OPTIN_TIME becomes optin_time), Email Address comes back as email, and your Status column comes back as status_src. Our standard columns come first (full_name, then first_name and last_name when your export has them, then email, phone, company, title, website and linkedin; some may be blank), then status and qa_notes, then the rest of your columns and source_row. Leave status, qa_notes and source_row unmatched: "Any unmatched columns won't be imported." (Mailchimp Help) Split the file by status_src and import one status at a time. We don't run or guarantee the import.

Do you need access to my Mailchimp account?

No. You export a file and email it. We only clean the exported file and never log in to or touch your Mailchimp account.

How fast is delivery?

From when we receive your file: Quick Clean (up to 200 rows) within 24 hours, Intro within 48 hours, Growth within 72 hours, Bulk within 5 business days. Over 5,000 rows is scoped in your quote.

What if the cleaned file isn't right?

If the file isn't what we promised, we fix it once for free within 48 hours. If it still isn't right, you get your money back for the part we couldn't deliver. If we're late, you choose a full refund or a free rush job.

What happens to my data?

Your file is used only for your job and deleted after delivery on request (see Anonymous aggregate statistics). We never log in to your CRM, and we never invent, buy, or append emails.

Anonymous aggregate statistics. After a cleanup we keep a small record of counts about your file: rows in and out, duplicates merged, rows flagged for review, which fields were present, and the CRM you told us it's for. This record contains no contact data, names, emails, company names, domains, file names or cell values, and it isn't deleted when your file is deleted. We only publish these counts combined with at least 19 other lists (and at least 5 different customers), so no single customer can be identified. To opt out, reply 'opt out' to your delivery email and we'll delete your record.
