Email audience export cleanup for Mailchimp, Constant Contact and Brevo

Exported your audience from Mailchimp, Constant Contact or Brevo and want one clean file before you re-import it or switch platforms? Send the export as a CSV or Excel (.xlsx) file: same-email duplicates are merged, opt-in and consent conflicts are flagged needs_review instead of guessed, and every edited cell is listed in a change log, back in 24 hours on Quick Clean (up to 200 rows). We don't verify emails or do deliverability work.

How to export your audience: Mailchimp, Constant Contact and Brevo

Each platform exports a file with its own column names. Below: how each one exports, in its own words, and which columns you can expect. Keep the original exports as your backup.

  1. Mailchimp. Open the audience and "Click Export audience." "Your export may include a ZIP file that contains separate CSV files for each type of email contact (subscribed, unsubscribed, non-subscribed, and cleaned)." "Export files contain your audience fields along with contact data that Mailchimp collects." Mailchimp's export article lists columns such as MEMBER_RATING, OPTIN_TIME ("The time a contact accessed your signup form."), OPTIN_IP, CONFIRM_TIME, CONFIRM_IP, LAST_CHANGED, LEID and EUID, NOTES and TAGS. Engagement isn't in the file: the article lists "Email engagement metrics, like opens and clicks" under what's not included. (Mailchimp Help: View or Export Your Contacts)
  2. Constant Contact. On the Contacts page, select the contacts, then "Click Actions > Export selection." "From the Export overlay, select all the contact information you want to include in your exported file." "When your export is complete, you can find your exported CSV or Excel file and download it by viewing your import/export activity and then clicking the "Download CSV" or "Download Excel" link." Either file works with us. Permission status needs a setting first: "The exported spreadsheet doesn't include the permission status unless the permissions are enabled." (Constant Contact Knowledge Base: Export your email or SMS contacts into a spreadsheet) Constant Contact's developer docs show an export with the headers "First name,Last name,Email address - other,Updated At" (Constant Contact developer docs: Export Contacts to a CSV File).
  3. Brevo. "With Brevo, you can export your contacts and their contact attributes (such as email address, phone number, creation date, etc.) as a CSV file." Select the contacts on the Contacts page, then "Click More actions > Export." "The EMAIL, LAST CHANGED, and CREATION DATE attributes are selected by default." "Select the CSV field separator you want to use: semicolon (;) or comma (,)." Either separator works with us. (Brevo Help Center: Export your contacts from Brevo) Default attributes include CONTACT_ID, EMAIL, FIRSTNAME, LASTNAME, SMS ("Stores the phone number of your contacts used for SMS and phone calls."), OPT_IN and DOUBLE_OPT-IN ("Stores whether your contacts have confirmed their subscription through a double opt-in process."). "The name of the default attributes may vary based on the account language you selected when you created your Brevo account." (Brevo Help Center: About contact attributes)
  4. One file per job. Several exports from the same platform can be stacked into one file (same columns, one header row). Exports from different platforms have different columns: line them up under one header row first, or send them as separate jobs.
  5. Re-import yourself. Import the cleaned file into your platform, or the one you're moving to, and test a small file first. If your platform imports one subscription status at a time, split the cleaned file by status first.

Or let us clean the export before you re-import it or switch platforms

  • You send one export as a CSV or Excel (.xlsx) file. With Excel, we clean the first sheet of the workbook, and the file comes back as a cleaned CSV plus a change log. We don't take old Excel .xls files; save them as .xlsx or CSV first. Brevo's semicolon-separated files are fine. Several exports from one platform can be stacked into one file (same columns, one header row); we clean one file per job.
  • Rows with the same email (ignoring capitalization and spaces at the start or end) are merged into one row: the first row is kept and its blank fields are filled from the later rows. Where both rows have different values, the first row's value is kept and the other is listed in the change log; tag values aren't combined. Every merge and every fill is listed in the change log.
  • Opt-in and consent conflicts are flagged, not guessed: if two same-email rows disagree in a consent-type column (for example OPTIN_TIME, OPT_IN or a Status column you add), the row is marked needs_review with both values listed in qa_notes. We never pick a subscription status for you.
  • Rows with the same full name and the same company, where both are present, but a different or missing email are flagged, not merged, with a note naming the row they may match. Misspelled names aren't caught. Audience exports often have no company column, so this flag rarely applies, and every row without a company gets a "missing company" note and is marked needs_review.
  • Invalid, missing and personal (for example Gmail or Yahoo) emails are flagged in qa_notes. We don't fix or verify mailboxes. The email check is a syntax check plus a personal-email flag only.
  • Names in ALL CAPS or all lowercase are re-cased. US phone numbers are formatted +1-XXX-XXX-XXXX. Numbers with a non-US country code (starting with + or 00) are kept as you sent them (extra spaces trimmed only). Numbers with no country code and 10 digits are treated as US. Placeholder phones like N/A are blanked and logged. Anything we can't read is kept as-is, with a note in qa_notes. Line breaks inside cells are turned into spaces (except in the email column, where a broken email is flagged invalid instead), and the CSV is saved as UTF-8.
  • You get back the cleaned CSV (with status, qa_notes and source_row columns), a change log with every merge, every fill from a duplicate, every email and possible-duplicate flag, and every edited cell listed by row, with its old and new value, a QA report with counts (rows in and out, duplicates merged, possible duplicates flagged, emails flagged and cells edited), and your original file, unchanged.
  • What we don't do: we don't verify emails, check mailboxes or do any deliverability work (no bounce prediction, inbox placement or sender reputation). We don't remove unsubscribes, change subscription statuses, run the import or log in to your platform. We don't find, buy or add contacts, and we don't merge rows that only might be the same person.

Questions

Do you verify email addresses?

No. We don't verify emails, check mailboxes or do deliverability work. The email check is a syntax check only: an address that isn't shaped like an email is flagged invalid and a blank one is flagged missing. Personal addresses (for example Gmail or Yahoo) get a personal email flag. Nothing is deleted for failing a check.

Will you remove unsubscribed or bounced contacts?

No. We don't drop rows by status. If same-email rows disagree in an opt-in or consent column, the row is flagged needs_review with both values listed, and the first value is kept. Mailchimp puts each status in its own file: "Your export may include a ZIP file that contains separate CSV files for each type of email contact (subscribed, unsubscribed, non-subscribed, and cleaned)." (Mailchimp Help) Add a Status column to each before stacking, so you can see conflicts.

Which files do you take?

A CSV or Excel (.xlsx) export from Mailchimp, Constant Contact or Brevo, or any other platform. Constant Contact offers both: "you can find your exported CSV or Excel file" (Constant Contact Knowledge Base). Brevo files with a semicolon or comma separator both work. With Excel, we clean the first sheet only. We don't take old Excel .xls files.

Will you log in to or change anything in my account?

No. We clean the exported file only. Same-email rows are merged in the file, with each merge and fill logged. You run the import and any clean-up in Mailchimp, Constant Contact or Brevo yourself.

What comes back, and how do I import it?

A UTF-8 CSV, also when you send Excel (.xlsx), plus a change log. Headers come back in lowercase with underscores (for example, OPTIN_TIME becomes optin_time and DOUBLE_OPT-IN becomes double_optin), and the email column (Email Address, Email address - other or EMAIL) comes back as email. Our standard columns come first (full_name, then first_name and last_name when your export has them, then email, phone, company, title, website and linkedin; some may be blank), then status and qa_notes, then the rest of your columns and source_row. Leave status, qa_notes and source_row unmapped when you import. We don't run or guarantee the import.

Do you need access to my email platform account?

No. You export a file and email it. We only clean the exported file and never log in to or touch your email platform account.

How fast is delivery?

From when we receive your file: Quick Clean (up to 200 rows) within 24 hours, Intro within 48 hours, Growth within 72 hours, Bulk within 5 business days. Over 5,000 rows is scoped in your quote.

What if the cleaned file isn't right?

If the file isn't what we promised, we fix it once for free within 48 hours. If it still isn't right, you get your money back for the part we couldn't deliver. If we're late, you choose a full refund or a free rush job.

What happens to my data?

Your file is used only for your job and deleted after delivery on request (see Anonymous aggregate statistics). We never log in to your CRM, and we never invent, buy, or append emails.

Anonymous aggregate statistics. After a cleanup we keep a small record of counts about your file: rows in and out, duplicates merged, rows flagged for review, which fields were present, and the CRM you told us it's for. This record contains no contact data, names, emails, company names, domains, file names or cell values, and it isn't deleted when your file is deleted. We only publish these counts combined with at least 19 other lists (and at least 5 different customers), so no single customer can be identified. To opt out, reply 'opt out' to your delivery email and we'll delete your record.
