Moving to beehiiv with more than one subscriber export? Merge them into one list first, with a change log of every edit.

Uploading a second export on top of the first? With beehiiv’s default setting, a blank cell in the later file deletes the value already there. Merge your exports first: one row per email, blanks filled from the other row, and a change log of every edit before you upload.

No calls needed: pay, email your export to slrescue@mail.grokbot.com, and get it back within 24 hours on Quick Clean (up to 200 rows; 48 hours on Intro, 72 hours on Growth, 5 business days on Bulk). Promo code SLRLAUNCH15 takes 15% off the Intro, Growth and Bulk packs through Nov 6.

Why moving two or more lists gets messy

  • The same email on two files: a reader on your Mailchimp audience who also signed up on Substack shows up in both exports, often with different fields filled in.
  • Small differences hide repeats: the same address typed with capitals, or with a stray space at the start or end.
  • Upload order matters: beehiiv updates subscribers already on your list, and by default a blank cell in the later file deletes the current value (beehiiv’s words are below).
  • After an upload you see counts, not rows: beehiiv’s import history shows an uploaded, accepted and rejected count.

This page is for several exports you merge first; if you have just one file to clean before upload, see beehiiv subscriber CSV cleanup.

What beehiiv’s help page says

beehiiv’s help article on CSV uploads says “If you import emails that are already on your list, beehiiv updates those existing subscribers instead of adding new ones.” About the Overwrite existing custom field data toggle: “On (default): Values in your file replace existing values. A blank cell deletes that subscriber's current value.” And about the import history: “The system does not provide a list of specific rejected email addresses or individual rejection reasons per email.” (beehiiv Help: common concerns with CSV uploads, read 31 October 2026).

So uploading exports one after another can wipe a value you had. Merging first means one upload, with each value kept on one row and every merge listed in a change log you can read before you upload.

Two beehiiv file rules to know

The same article lists these, word for word:

  • “Your CSV must have one of these headers in the first column: "email", "email address", or "emailaddress" (case-insensitive).”
  • “Every row must have a valid email address in the first column.”

Our cleaned file starts with the name column, and it keeps rows with a missing or invalid email so that nothing is deleted without you seeing it. That is why steps 4 and 5 below are yours to do before you upload.

What we don’t do

  • We don’t move posts, subscribe forms, automations or settings. We only work on the subscriber CSV you send us.
  • Nothing inside beehiiv, Mailchimp, Substack or Kit: we don’t log in to any of them.
  • We don’t predict or explain beehiiv’s rejections. beehiiv runs its own checks when you upload, and we can’t see them from your file.
  • We don’t check whether a mailbox exists or will accept mail.
  • Columns are not matched to your beehiiv custom fields. Your columns come back with the same headers, and you match them when you upload.
  • Who you may email is your call. A cleaned file is not permission to email anyone.

How it works

Check the file free

Run the free CSV Preflight. It runs in your browser, counts duplicate emails, and the file is not uploaded.

Send it for a Quick Clean

Quick Clean is $25 for up to 200 rows. Put your exports in one CSV under one header row so the columns line up, and send it (details below).

Read the change log

For up to 200 rows, within 24 hours you get a cleaned CSV plus a change log (changelog.md and change_log.json) listing every merge and edit by row number.

Move the email column to first

The cleaned file starts with the name column. beehiiv wants an email header in the first column, so cut the email column and paste it as the first column before you upload.

Delete the rows marked for review (missing or invalid email) before uploading.

beehiiv says every row needs a valid email in the first column. We keep those rows so you can see them; delete them, or fix the email, before you upload.

Before you upload to beehiiv

  1. Move the email column to first.
  2. Delete the rows marked for review (missing or invalid email). They’re the rows with needs_review in the status column.

Rather hand off the cleanup? $25 Quick Clean: up to 200 rows, cleaned CSV (same-email duplicates merged, possible duplicates noted) plus a change log within 24 hours.

Free CSV Preflight Quick Clean · $25 (up to 200 rows)

What you get back

  • One row per email: same-email duplicates merged, ignoring capitals and spaces at the start or end; every merge is listed in the change log with its row numbers
  • Where one row has a value and the other row with that email has the cell blank, the merged row keeps the value, and the fill is listed in the change log
  • Where merged rows both have a value and they differ, the first row’s value is kept and the other value is listed in the change log
  • If a status column disagrees between merged rows (for example active on one, unsubscribed on the other), the kept row is marked for review with both values in qa_notes
  • Possible duplicates noted, never merged: rows with the same full name and company but a different email get a “possible duplicate” note in qa_notes and are marked for review
  • Rows with a missing or invalid email kept and marked for review, so you decide what to delete

Questions

Doesn't beehiiv already remove duplicates?

Yes, on its side. beehiiv says it “automatically removes inactive and duplicate emails to keep your list clean”, and that re-uploading an email “updates the existing record rather than creating a new one” (beehiiv Help). We work on your exports before you upload: one row per email, with a change log of every merge you can read first.

I only have one export. Do I need this?

Maybe not. Run the free CSV Preflight first; if it finds no duplicate emails, beehiiv’s own upload may be all you need.

Will you tell me which emails beehiiv will reject?

No. We don’t predict or explain beehiiv’s rejections. beehiiv runs its own checks when you upload. The change log lists what we changed in your file, nothing more.

Can you merge subscribers who used two different emails?

No. We only merge rows with the same email. Rows with the same full name and company but a different email are noted as possible duplicates, never merged, and you decide.

Should I delete every row marked for review?

No. Delete the rows marked for review (missing or invalid email) before uploading. Possible duplicates and rows missing a name or company are marked for review too; on a newsletter list with no name or company columns that can be most rows. Those still have an email, so check them and keep the ones you want.

Can I email everyone on the merged list?

Not because we cleaned it. We don’t check who agreed to hear from you. Only email people who agreed to hear from you.

Are you affiliated with beehiiv?

No. We only work on the CSV file you send us.

Is my data safe?

Files are used only for your job and deleted after delivery on request (see Anonymous aggregate statistics).

Anonymous aggregate statistics. After a cleanup we keep a small record of counts about your file: rows in and out, duplicates merged, rows marked for review, which fields were present, and the CRM you told us it's for. This record contains no contact data, names, emails, company names, domains, file names or cell values, and it isn't deleted when your file is deleted. We only publish these counts combined with at least 19 other lists (and at least 5 different customers), so no single customer can be identified. To opt out, reply 'opt out' to your delivery email and we'll delete your record.

What if the cleaned file isn't right?

If the file isn't what we promised, we fix it once for free within 48 hours. If it still isn't right, you get your money back for the part we couldn't deliver. If we're late, you choose a full refund or a free rush job.
